SYNPO, a.s. places great importance on the protection of personal data. This Privacy Policy explains how we process personal data of persons who visit our website www.synpo.cz, contact us, use our services, send us inquiries or applications, or apply for employment with us. When processing personal data, we comply with applicable legislation, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council (“GDPR”) and relevant legislation of the Czech Republic.

Depending on how you communicate with us or use our website and services, we may process in particular:

  • first and last name,
  • academic title,
  • job position and employer,
  • e-mail address,
  • telephone number,
  • postal address,
  • information provided through contact and inquiry forms,
  • information contained in inquiries, requests and other communications,
  • information contained in CVs and other documents submitted in connection with recruitment,
  • information necessary to fulfil contractual and legal obligations,
  • technical information related to the use of the website, in particular IP address, information about the device and browser, and information about how the website is used,
  • information obtained through cookies and similar technologies, where their use is subject to consent.

We process only personal data to the extent necessary for the relevant purpose of processing.

3. PURPOSES FOR WHICH WE PROCESS PERSONAL DATA

We may process personal data for the following purposes:

3.1 Handling inquiries and contact requests

If you contact us through a contact form, e-mail, telephone or other means, we use the information provided to handle your inquiry, request or other communication.

3.2 Business and contractual relationships

We process personal data to the extent necessary for entering into contractual relationships, fulfilling contractual obligations, communicating with customers and business partners, and protecting the rights and legitimate interests of the company.

3.3 Handling inquiries and requests for quotations

We use information provided in inquiries or requests for quotations to process the request, communicate with the person submitting it and, where applicable, enter into a subsequent contractual relationship.

3.4 Recruitment and selection of employees

If you send us your CV or other information in connection with an application for employment, we process this information for the purpose of assessing your application, communicating with you and organising the recruitment process.

3.5 Compliance with legal obligations

We may process personal data in order to comply with obligations imposed by applicable laws, for example in the areas of accounting, taxation, employment law or other legal obligations applicable to the company.

3.6 Protection of rights and legitimate interests

We may also process personal data for the purpose of protecting our rights and legitimate interests, for example to exercise or defend legal claims, prevent fraudulent or unlawful activities, secure information systems and protect our property.

3.7 Operation and security of the website

We may process technical information to the extent necessary to ensure the secure and proper operation of our website, prevent attacks, identify technical problems and ensure the security of our information systems.

If we use analytical, marketing or other similar technologies for which user consent is required, we process the relevant data on the basis of such consent.

4. LEGAL BASES FOR PROCESSING

We process personal data only where there is a legal basis for such processing. Depending on the specific purpose, the legal basis may include:

  • performance of a contract or taking steps at the request of the data subject prior to entering into a contract, pursuant to Article 6(1)(b) GDPR;
  • compliance with a legal obligation, pursuant to Article 6(1)(c) GDPR;
  • protection of the legitimate interests of the Controller or a third party, pursuant to Article 6(1)(f) GDPR;
  • consent of the data subject, pursuant to Article 6(1)(a) GDPR, where consent is required for the relevant processing.

Where processing is based on consent, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out on the basis of consent before its withdrawal.

5. RETENTION PERIODS

We retain personal data only for as long as necessary to fulfil the purpose for which it was collected, or for the period required by applicable law. The retention period therefore varies depending on the specific purpose of processing. After the applicable retention period has expired, personal data will be securely deleted or anonymised unless further retention is justified by another legal basis or legal obligation. Where data is processed on the basis of consent, processing will continue until the consent is withdrawn, unless another legal basis exists for continued processing. Specific retention periods for individual categories of personal data are determined with regard to the purpose of processing and applicable legal obligations.

6. RECIPIENTS OF PERSONAL DATA

Where third parties process personal data on our behalf as processors, we enter into appropriate contractual arrangements with them where required by the GDPR.

7. TRANSFERS OF PERSONAL DATA TO THIRD COUNTRIES

As a general rule, we do not transfer personal data outside the European Economic Area unless this is necessary for a particular service or purpose. If the use of a particular service involves the transfer of personal data to a third country outside the European Economic Area, we will ensure that the requirements of Chapter V of the GDPR are met and that an appropriate transfer mechanism is in place. Further information concerning a specific transfer may be provided upon request.

  • Right to data portability – Where the conditions set out in the GDPR are met, you have the right to receive personal data concerning you which you have provided to us in a structured, commonly used and machine-readable format and, where applicable, to request that such data be transmitted to another controller.
  • Right to object – Where we process personal data on the basis of legitimate interests, you have the right to object to such processing. Where personal data is processed for direct marketing purposes, you have the right to object to such processing at any time.

11. SECURITY OF PERSONAL DATA

We implement appropriate technical and organisational measures to protect personal data against unauthorised or unlawful processing and against accidental loss, destruction or damage. Access to personal data is restricted to persons who require such access for the performance of their employment or contractual duties.

12. AUTOMATED DECISION-MAKING AND PROFILING

In connection with the operation of www.synpo.cz, we do not use automated decision-making that produces legal effects concerning you or similarly significantly affects you. If such processing is introduced in the future, we will provide the information required by the GDPR.
